Summary of Functions:

  • This position is responsible for supporting the executive management at the national headquarters in Cleveland as well as remotely supporting the president along with the Executive Board who are located throughout the US. To be successful in this position, the candidate must have a proven track record and demonstrated ability to perform executive assistant duties. The candidate must have excellent communications skills, the ability to handle extensive travel and meeting arrangements, manage multiple calendar appointments and meetings while exhibiting the highest level of professionalism to a diverse group of professionals. Additionally, this position requires a person who has a proven and verifiable track record to be work in a dynamic team based environment.
  • The successful candidate will have excellent administrative skills, thrive on new challenges and tasks, have a growth mindset, and take the initiative to accomplish things quickly, effectively, efficiently and thoughtfully. The candidate will also be resourceful and have a take charge attitude when called on to do so. The candidate will be forward-thinking, and take a logical, consistent approach to planning as well as the ability to think on their feet to resolve unforeseen issues. The candidate will be high-energy, dynamic, excited about change, and comfortable with providing support outside the typical 9 to 5 office hours.

Major Duties And Responsibilities:

  • Independently performs and creates methods to satisfy administrative duties in support of the six Executive Committee Members, President, Vice President/CFO, Director of Membership & Business Development, Director of Workforce Development and other needs of staff of the association.
  • Record, maintain, and distribute meeting minutes and agendas for all standing team meetings/conference calls four-six times per month.
  • Completes a broad variety of administrative tasks for Executive Management (President, Vice President/CFO, Director of Membership & Business Development, Director of Workforce Development and six members of the Executive Committee) including: managing extremely active calendars; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. This includes re-arranging calendars sometimes several times a day, managing all details for international and domestic travel, and handling last-minute changes to plans effectively.
  • Travels up to five times/year to attend Executive Committee meetings and national conferences. Roughly four days across the country. This position plays a lead role in coordinating travel for Executive Committee.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, presentations, and other tasks that facilitate the President's ability to effectively lead the association.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Authoring, editing, proofing written correspondence for Executive Leadership and staff.
  • Updates orientation guides as needed.
  • Works with the Vice President/CFO for tracking of all time off for NTMA staff.
    • Executes confidential work and demonstrates a thorough knowledge of the NTMA policies and procedures.
    • Guide standing teams through the protocols and requirements of the Association.
    • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
    • Such other duties as may be assigned by the individual's supervisor, the Executive Committee or the Board of Trustees.

Skills:

  • Excellent verbal and written communication skills constantly put to the test. Comfortable responding to requests, feedback, and inquiries via text, phone calls, email, voicemail, GoToMeetings, face-to-face, etc.
  • Ability to handle multiple tasks simultaneously as the focal point of support for this fast-paced membership based association

  • Proficient with Microsoft Office, specifically Word, Outlook and Powerpoint
